The Staff Mobility Programme invites EMBRC’s personnel (technicians, administrative, managers, researchers in charge of services & platforms in EMBRC capacity) to visit one partner institution from its network for a short stay to work with the local staff to gain experience, improve knowledge and develop new skills in their field as well as share experiences and good practices within the sector.
EMBRC aims to reduce knowledge fragmentation in marine science by establishing a collaborative network of experts around Europe. Through this programme, we encourage staff exchanges and support knowledge sharing between our partners by:
Technicians, researchers, and other staff involved in technological, technical, and administrative departments at EMBRC’s partner institutions. Eligibility note: applications focused entirely or mainly on research projects with no clear outcomes on the development or improvement of EMBRC services are not eligible in this call.
The awarded applicants (maximum two people per proposal) will be granted an overall sum of up to 2000€ for the reimbursement of expenses incurred during the Staff Exchange. This includes travel, meals, and accommodation for one week maximum at any EMBRC partner institution.
Longer stays are possible with additional funding from the visitor's home institute or host institute. Salary and insurance during the visiting period remain the responsibility of the home institute.
To be eligible, the team involved in the Staff Mobility must be affiliated to an EMBRC partner. Your application should involve another EMBRC partner, located in a different country of the home institute to which you are affiliated. Example: you are a technician based at CCMAR (Portugal). Your application is eligible for any other Member Country in EMBRC, with the exception of Portugal.
We recommend contacting the Local Access Officer of the potential hosting institute and find an agreement for your request of staff mobility, explaining the reasons of your stay. There will be two rounds for the submission of proposals. Their deadlines are:
Round 1: Friday, 28 February 2026 (noon, CET).
Round 2: Friday, 26 June 2026 (noon, CET).
30 days after the stay, the awarded applicants must report the activities conducted using the Activity Report Template. The submission of the report is mandatory for the reimbursement of your expenses to take place.
The reimbursement procedure is managed through the EMBRC hosting institute through these steps:
1. Reimbursement by the hosting institute
The host marine station will initially cover the visitor’s travel, accommodation, and meal expenses. Following the completion of the mission, the visitor must submit their expense claims directly to the host station’s administrative department for reimbursement, up to a maximum of €2000.
2. Invoicing to EMBRC
Once the host station has reimbursed the researcher, it will then invoice EMBRC-ERIC (HQ) for the total amount to recover the funds.
3. Approval requirement
To ensure a smooth process, only applications that have been officially approved for funding will undergo a final administrative check with the hosting institute's financial department to confirm their capacity to handle the reimbursement before the staff exchange commences.
